At Authentika Studio, we understand that plans sometimes change. Our Booking, Refund & Cancellation Policy is designed to protect both our clients and the fair use of our studio space. By booking with us, you agree to the following terms.
1. Cancellations
You may cancel your booking up to 24 hours before your scheduled session and receive a full refund. Cancellations made less than 24 hours before your booking start time are non-refundable, as the reserved slot cannot be rebooked at short notice. No-shows are considered a late cancellation and are non-refundable. To cancel, request a refund, or change the date of your booking, please contact us by email, including your name, surname, and the time of your booking.
2. Rescheduling
You may reschedule your booking up to 24 hours before your scheduled session, free of charge, subject to availability. Reschedule requests made less than 24 hours before your booking cannot be guaranteed and may require creating a new paid booking.
3. Refund Process
Approved refunds will be processed to your original payment method. Refunds typically take 5–10 business days to appear on your statement, depending on your bank or payment provider. If your payment provider applies additional fees, these are not controlled by Authentika Studio and may not be refundable.
4. Early Departure / Unused Time
No refunds will be issued for early departure or for any unused portion of your reserved booking time. You are responsible for managing your session within your booked hours.
5. Equipment Availability
Our studio is equipped with various photography, video, and lighting equipment. We encourage you to confirm in advance if specific equipment is required. While we take all reasonable steps to ensure equipment is fully functional, technical issues can occasionally arise. If key equipment becomes unavailable or inoperable during your session and materially impacts your ability to create content, we will offer either a free reschedule of your session or a full refund, at your choice.
6. Damage to Studio Equipment, Inventory, or the Property
If anything gets broken or damaged during your session by you or your guests, you agree to take full responsibility and cover the cost of any damage to the studio equipment, inventory, or the property. All damages will be recorded, and the cost of repairs or replacement will be invoiced to you. No refunds will be issued if your session is ended due to damage, misuse of equipment, or violation of studio rules.
7. Usage and Wear & Tear
Natural wear and tear is acceptable, as long as no items are damaged or broken during the usage of the studio. Damaged, spilled, bent, or stained Coloramas will be charged at £10 per meter. Please ensure clean and careful use of all studio materials and equipment.
8. Studio Cleanliness
The studio must be kept and left in a clean and tidy condition. Failure to leave the studio in an acceptable condition may result in additional cleaning fees, which will be invoiced to the person who made the booking.
9. Studio Rules
To maintain a safe and professional environment, the following rules apply to all bookings:
The studio must be used only during your booked time slot. You may use an additional 10–15 minutes at the end of your session for tidying up; however, please be aware that we may need to prepare the studio for the next booking during the same hour. The maximum tolerance is 15 minutes.
Smoking is strictly prohibited inside the studio spaces. This includes both cigarettes and vapes.
Smoke machines or fog machines are not permitted inside the studio.
No pets are allowed inside the building. If you wish to bring a pet for a specific project, this must be discussed and approved with us in advance.
The use of alcohol, drugs, or any illegal substances is strictly prohibited on the premises.
Failure to bring a valid physical ID document may result in delays and no refunds will be issued. ID must be presented in person before accessing the studio. Without an ID document, access to the studio will not be allowed.
The amount of visitors must be agreed during your booking application. You will take full responsibility for the actions of your visitors, including any damages or rule violations caused by them.
Breaking the studio rules, causing damage to studio equipment, inventory, or the property, may result in legal action and will be reported to the local authorities. All related expenses, including repairs, legal costs, or damages, will be covered by the person who made the booking.
CCTV operation in the studio will be maintained at all times for security purposes.
All studio items must be left where they were originally found. Any missing items will be treated as stolen or missing, and the cost of replacement may be required to be covered by the person who made the booking.
Studio doors must be locked at all times when not in use, and especially after leaving the building. Failure to secure the studio may result in additional liability.
10. Health & Safety
You and your guests are responsible for your own health and safety while using the studio. You must follow all studio rules, instructions, and posted signage at all times. The studio will be maintained in a safe and clean condition, but you must take reasonable care when using the space and equipment. If you notice any hazards or safety concerns during your session, you must inform us immediately. By booking, you accept that you are using the studio space at your own risk and that Authentika Studio is not liable for any injuries caused by your own actions, misuse of equipment, or failure to follow studio rules.
11. Unforeseen Circumstances
We are not responsible for cancellations or rescheduling resulting from circumstances beyond our control, such as severe weather, natural disasters, utility failures, government restrictions, or illness outbreaks. In such cases, we will make every effort to offer a free reschedule or a refund, at our discretion.
12. Exceptional Circumstances
If you experience a genuine emergency that prevents you from attending your session, please contact us as soon as possible. We will review such cases on a goodwill basis and may offer a reschedule or refund, depending on the situation.
13. Agreement
By booking a session with Authentika Studio, you acknowledge that you have read, understood, and agree to this Booking Terms & Refund Policy. We reserve the right to update this policy at any time. The version in effect at the time of your booking will apply to your session.
